How to Export from QuickBooks
How to export from QuickBooks is a relatively simple process and can done using one of two methods that are supported by QuickBooks. You can use the “Export” button on your “Find” window or export from “Centers” such as the “Customer Center”.
If you need to export a type of transaction for more than one employee, vendor or customer QuickBooks supports using the Find window/Export button. This would be appropriate if you need to exchange or analyze a filtered but broad data set. Exporting from a center should be used when you need to export transactions for either multiple or single employees, vendors or customers. This second technique allows you to create an export file for one account so you can address specific business issues, such as a customer’s billing and payment history, or if you need to export a specific range of a single type of transaction.
How to export from QuickBooks using the “Find Window”
When you use the Find window, you can export transaction data for more than one employee, vendor or customer. To reduce the number of transactions you want to export, you can apply filters that allow you to export data for just one employee, vendor or customer.
To begin, click the menu selection Edit/Find.
As an example, let’s say you want to export your invoices for all customers. From the drop down menu under Transaction Type, select Invoice and click on the Find button. QuickBooks will then display the matches. You can further filter the data by selecting a Customer/Job, a particular Invoice number, a Date range or a dollar Amount. In the advanced tab you will find additional options to filter your data. Once you have filtered the data to transactions you want to export, click on the Export button.
The QuickBooks Export window allows you to export the data to an Excel spreadsheet or comma separate values file (.csv).If you want to export data to Excel you must use a Microsoft Excel version that is 2000 or later and you can select an existing Excel workbook or a new workbook. Once you click on the Export button, QuickBooks automatically launches Excel with your exported transactions loaded.
How to export from QuickBooks from a “Center”
When you use a Center, for example the Customer Center, you have the flexibility to export your transactions for a filtered transaction list relevant to that specific Center or single employee, vendor or customer.
As an example, if you want to export transactions for a single customer to review their purchase history, open your Customer Center and selected the Customer for which you want to export data. After you have selected a customer, click the Excel button (found in the toolbar), then Export Transactions. You can filter the transactions by changing values in the drop down menus that are located above your transaction list. Your transaction export to the Excel workbook will proceed as we have previously described. It is important to note that if you use this method, you cannot export to .csv files. This is not important however, because a .csv file would most likely only be used to export a large amount of data.
If you want to export transactions from more than one customer using the Customer Center, simply click on the Transactions tab. An available transactions list will appear on the left that meets the filter criteria on the right. Change your filters as needed to produce the transactions you want to export.
